Self-Service Access for Terminated Employees
Former employees can now securely access their personal information and pay information after they leave your company. This new self-service experience reduces manual requests to HR and Payroll while giving former employees a clear, supported way to get what they need. You stay in control of access, timelines, and security throughout the post-employment period.
We introduced a new former employee access level that allows terminated employees to log in using their personal email address and view their information for up to 24 months after their termination date. Once access is granted, former employees can review and update limited contact details, view pay history, download pay stubs, and access W-2 and W-2C documents when Payroll is enabled. They can also update direct deposit information during this access window.
Admins can manage post-employment access directly from the employee profile or from Settings. You can grant or remove access at any time, and you can set up access in bulk using standard fields like Department, Job Title, or Location. Each former employee’s access automatically expires after 24 months, and BambooHR sends email notifications when access begins and when it ends, so expectations stay clear without extra follow-up.
This experience applies to employees with a standard Terminated employment status in BambooHR. If a former employee does not have a personal email on file, BambooHR alerts you so you can add one before access begins. When access expires or you revoke it, the former employee can no longer log in and receives an informational message explaining what happened.
